Trancit saves time and money
with Mileage Book

Trancit has used Mileage Book to register mileage for several years. Mikkel Buck, Deputy Manager, finds the app intuitive and emphasizes that it is easy for employees to use. However, Trancit's biggest benefit of using Mileage Book is in the subsequent processing of the registered data.

"We have upgraded our use of Mileage Book so that more processes are automatic, and it really makes a difference for us. We avoid sending receipts with errors back and forth and we avoid overlaps between payments. Overall, the solution saves us both time and money," says Mikkel Buck.

Fewer manual workflows

Previously, there were many manual workflows and more opportunities for errors in the approval process. Small errors here and there meant that everything had to be returned to the sender, corrected and go through another round of approval. Today, everything is in the system and if there are small things that need to be corrected, they are easily handled directly in the system. The bookkeeping department no longer has to send emails back and forth, and attachments are a thing of the past.

No more overlaps and incorrect payments

And some errors are simply no longer possible. In the past, an overlap between reports could mean that the same mileage was paid out twice. This no longer happens.

"A couple of times I've discovered that a mileage had been included twice because it was right on the boundary between two periods. Today, we know that once a trip has been submitted and approved, you don't risk sending the same trip again. It's simply not possible. There's no telling how often this has happened, but when I've noticed it a few times, there are definitely times when I haven't noticed it. We have completely eliminated double payments, and it's reassuring to know that this error cannot occur in this set-up," says Mikkel Buck.

Flexible disposition of licenses

Trancit has a continuous turnover of employees. Therefore, it is of great importance to the company that they can manage the user licenses themselves.

"We have a number of part-time employees, which means that we have a relatively high turnover of employees. With the solution we have now, we manage our user licenses ourselves. When an employee leaves and a new one starts, we just change the name of who uses the license. It means a lot to us that the license does not follow the individual employee, but is owned by us. I would almost say that this flexibility alone offsets the additional cost of switching to the enterprise solution," says Mikkel Buck.

Log driving on projects

Several of Trancit's tasks are created as projects, where driving is included as part of the overall invoicing. Here it makes sense to let the mileage be registered automatically on the project.

"Driving on projects is another area where I know we can both save time and minimize the number of errors. We just need to be ready in our own accounting system, but then I look forward to optimizing this area and using Mileage Book to log mileage on the relevant projects," concludes Mikkel Buck.
